OVERVIEW 
The National Theatre, one of the UK’s leading arts venues, reaches millions of people each year through live and digital programming, creating and sharing performances in London, across the UK and internationally. The organisation strives to be accessible, inclusive and sustainable. It empowers artists and craftspeople to make world-leading work, inspires young people, and works with communities. Based in the heart of London’s South Bank, the venue is home to multiple performance spaces and is attended by over a million people annually, operating year-round to provide a welcoming space for audiences and visitors alike. NT Food and Drink, a partnership formed between Levy UK & I (part of Compass Group), KERB Events and the National Theatre, enhances the experience of visitors to the NT. Through delivery of great hospitality across the building and with a wide range of venues from event spaces, cafes, bars and restaurants whether theatre-going or not, we’re able to meet the needs of our guest and add to their experience of visiting this iconic venue. JOB DESCRIPTION Reporting to the Director of Food & Drink, you will be responsible for the delivery of internal and commercial events across multiple spaces within the theatre.
KEY AREAS OF RESPONSIBILITY
Event delivery 
• Deliver commercial and internal events according to function sheet specifications
• Maintain expected high standards for all types of events 
• Adhere to responsible alcohol service guidelines 
• Ensure the operational team have in depth induction and training, a detailed briefing and are in correct uniform, enabling them to perform to the high standards expected 
• Manage client relationship and communication throughout the event 
• Complete relevant H&S paperwork and end of night reporting
Team management & training 
• Line management of event operations management and a team of casual staff 
• Book staffing as required with NT Food & Drink’s staffing partner
• Write rotas according to event requirements and labour budgets 
• Staff inductions including health & safety and event specific training 
• Training & development of event operations management and casual team members Internal 
• Establish and update standard operating procedures and menu specification documents
Health & safety 
• Conduct weekly and quarterly health & safety audits of event areas 
• Update & review all risk assessments associated with event operations 
• Ensure department is fully compliant with all food safety and general H&S requirements 
• Monitor and manage pest control 
Equipment & logistics 
• Effectively manage all event kit & equipment including regular stock takes 
• Maintain all event storage areas 
• Liaise with logistics team regarding event requirements 
• Operate basic in house AV & Lighting equipment and report maintenance requirements as needed 
• Set up and manage linen contract, ensuring correct quantities are available for events as required 
Financial reporting 
• Effective management of labour spend vs budgets for both commercial and internal events 
• Conduct monthly stock takes
• Weekly commercial sales and profit reporting as well as accurate reporting of all costs for internal events 
• Understanding of overall commercial event P&L 
Stakeholder management 
• Foster strong relationships with partners, including KERB Food, National Theatre, and Compass Group/Levy. 
• Maintain strong positive relationships with internal departments, including Food & Drink, planning, AV & lighting, development, support services and visitor experience management. 
• Manage external suppliers throughout event delivery, maintaining relationships whilst ensuring all building regulations are adhered to 
• Manage relationship with staffing partner to ensure event requirements are met
Other 
• Support the event sales & planning team in driving commercial event revenue 
• Thorough understanding of the internal event requirements, particularly for high level clientele and the importance of these events for the ongoing success of the National Theatre 
• Promote and support NT Food & Drink’s commitment to sustainability in event menus and delivery. 
PERSONAL COMPETENCIES & EXPERIENCE 
• Previous experience in operational event management, preferably within a cultural/heritage venue, high end hotel or similar 
• Experience managing multiple events simultaneously and with guest numbers of 200+ Internal 
• Detailed knowledge of event preparation requirements including staffing, equipment, logistics, stock control and external suppliers 
• Experience with all aspects of event specific and general health & safety requirements 
• Excellent communication and interpersonal skills, with the ability to build and maintain a strong, skilled operational team 
• Strong organisational and multitasking abilities, with a keen attention to detail. 
• Proven track record of managing event P&L, including effective labour budgeting and beverage stock control 
• Experience of working with a range of budgets and financial acumen. 
• Ability to work collaboratively with cross-functional teams and external partners. 
• Flexible around the need to adjust working patterns within reason and as agreed with line manager, as relevant to business requirements from time to time. 
• Excellent knowledge of the hospitality industry and current trends.
• High level of professionalism and ability to represent the organisation effectively. 
• Ability to think outside the box and be creative
