Talent Acquisition Coordinator – New York, 10019, United States of America

How you’ll CREATE:

Candidate Interview Scheduling

  • Includes in-person interviews, phone interviews, and zoom video conferences

  • Book conference rooms and ensure equipment is properly set up when needed (In-person, MS Teams/Zoom)

  • High level communication with Recruiters, Hiring Managers, and Candidates for alignment of schedules

  • Timely follow-up to ensure the process moves forward

  • Provide a high level of customer service and professionalism to the Candidates, Recruiters, and Hiring Managers involved in the interview process

  • Manage and track the scheduling process in our applicant tracking system (Workday)

    Employment Offer Letters and Background Checks

    • Prepare and processes high-volume offer letters, conduct reference/background checks and communicate completion to the appropriate team members

    • Ensure accuracy, completeness, and compliance across the centralized recruiting function

    • Send recruiter survey to all Hiring Managers at offer stage

    • Check Sterling (background check vendor) on a daily basis and take necessary action in order to pass/decline checks

      Administrative Support

      • Manage Talent Acquisition Coordinator calendar with an understanding of business priorities for all areas of UMG

      • Manage Talent Acquisition Coordinator inbox & prioritize business needs on a timely basis

      • Create & update all job descriptions for all areas of the business

      • Post all job openings across careers site and external career sites as requested

      • Assign all appropriate recruiters to requisitions on a daily basis

      • Update and manage people business partner job description bank on an ongoing basis

      • Support the wider TA team with system implementation testing

      • Book travel and accommodations as needed

      • Create, manage & send all MSA & LOE documents to external search firms

      • Update all Talent Acquisition documents (spreadsheets, templates, offer letter language)

      • Update MS Teams with all critical TA Documents on a daily basis

      • Attend all internal and external trainings pertaining to recruitment processes to ensure UMG recruiters are meeting market standards

      • Conduct market research to further develop recruiting strategies and materials

      • Conduct executive referral screening calls to potential candidates

      • Complete expense reports on a weekly basis

      • Support the broader Talent Acquisition team on additional duties and projects on a needed basis including inquiries and data research pertaining to business needs

      • Proactively identify areas of support

      • Handle additional needs as requested
         

  • Professional interactions with visitors, applicants, and employees, and serve as front line customer service representative and follow up, as appropriate

  • Respond to inquiries and requests from clients and recruiters in a timely fashion

  • Maintain confidential and sensitive information

  • Duties and responsibilities are subject to change and may include additional responsibilities based on business needs

  • 1+ years of administrative experience preferred

  • HRIS experience, Workday applicant tracking system experience a plus

  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint
