A new opportunity has arisen to join the Breast service at Ashford Hospital that requires a high level of organisational and communication skills and collaboration with a wide range of health care professionals and administrators.

The successful candidate will be responsible for providing a comprehensive management of Breast Cancer patients from referral to completion of treatment to ensure patients are booked in line national cancer targets, and in line with the Trust’s access and cancer policies. This role will be an essential point of contact within the department for all members of the multidisciplinary team as well as patients and their relatives.

The ideal candidate will understand the NHS Cancer guidelines and be able to exercise initiative and escalate any concerns in a timely manner. Computer skills are essential and training will be given on hospital administration systems.

Main duties of the job

The postholder will:

·  Play a vital role in the management and coordination of Cancer Wait Time (CWT) targets.

Monitor patient’s pathways from referral through to treatment planning and subsequent treatment, highlighting any potential delays in the pathway.

Liaise directly with patients to book, cancel, and rebook any outpatient appointments.

·  Act as a ‘local expert’ on the Cancer Pathway, tracking mechanisms, and service improvements that will improve patient experience & facilitate the provision of accessible and high quality care.

·  Work as a member of the Breast Clinical Office Administrative team supporting with letters, telephone calls and emails as required.

Detailed job description and main responsibilities

  • To work closely with the Service Manager, Cancer Nurse Specialists, Breast clinicians, and administrative teams in the Breast Service, and other relevant services across the Trust to ensure patients are actively managed through the cancer pathway.

·       To monitor patient’s pathways from referral from first discussion at MDT through to treatment planning and subsequent treatment, highlighting any potential delays in the pathway.

·       Liaise directly with patients to book, cancel, and rebook any outpatient appointments.

·       To ensure that appropriate requests for investigations are monitored following the clinician’s instructions. If diagnostic delays occur or appear imminent liaise with the relevant service for action.

·       To liaise with members of individual specialties management teams and the Trust to ensure coordination of all elements of patient pathways, highlighting patient target dates to ensure that investigations are carried out and results received in a timely manner.

·       To ensure all information relating to the patient’s pathway clearly identifies all relevant target dates to aid other users of the relevant systems.

·       Ensure the Cancer patient tracking list (PTL) is kept up to date with the next step in the patients pathway.

·       Attend Cancer PTL meeting to provide updates to the Cancer Services team on patient pathway progression.

·       Liaise with the Cancer Services MDT coordinators throughout the patient pathway to ensure timely and up to date information.

·       To support the division in the implementation of robust follow-up tracking, ensuring that any subsequent cancer treatment is provided within national targets.

·       To maintain up to date knowledge of all standards, targets and processes relating to the patient pathway process and to be a point of reference for administrative teams across the Trust.

·       To support with audits by collecting accurate data to support the continual development of cancer pathways and report any discrepancies to clinical offices and clinical teams.

·  Work as a member of the Breast Clinical Office Administrative team supporting with completing letters, answering telephone calls, and responding to emails as required.

Qualifications

Essential criteria
  • Extensive specific administrative medical specialty knowledge gained by education or relevant experience.
  • GCSE in English and Maths, NVQ or equivalent

Experience

Essential criteria
  • Excellent IT skills
  • A broad range of administrative experience
Desirable criteria
  • Full range of administrative experience within the NHS
  • Experienced knowledge of waiting list management & patient pathways.
  • Experience of using NHS information & data systems.
  • Experience of working in a busy office and dealing with conflicting demands
